MEET THE TEAM
Hello Stallholders of 2025,
We’re Hannah and Matt, the owners of the Green Ant Craft Fair! We’re excited to introduce ourselves and share a bit about our journey. We’re a family of five with three beautiful children, aged 3, 4, and 8. Matt is a true Territorian, having spent 44 years here, while I’m heading into my 13th year in the Northern Territory.
Our goal is to give the fair a fresh new look while staying true to its roots as a handmade market—something both the community and our stallholders have asked for. Outside of the fair, I run Suzie’s Sunshine Dolls, where I design and create one-of-a-kind dolls, and I also own The Handmade Haven, a shop on Knuckey Street in the CBD. Matt is an electrician by trade, but currently works as a Work Health and Safety Advisor for Iron Bark Indigenous Corporation.
We’re looking forward to working with you all and making the Green Ant Craft Fair a vibrant celebration of local talent!

Stall information
Please read these guidelines to ensure you have all the information you need regarding bump in and stall set-up, facilities and responsibilities.
Bump-in
Friday 28th November 2025
· 🕛 From 12:00pm (noon) on Friday, 28 November 2025
· Entry to the Territory Netball Stadium will be via the Abala Road carpark.
Please park as close to the stadium as possible to unload, being courteous to other stallholders.
· Once you have completely unloaded your vehicle, please move it immediately away from the front entrance before setting up your stall.
· 🚗 Vehicles must not be left unattended in front of the stadium.
Ample parking is available outside the venue and in the underground carpark
· All stalls must be set up on Friday afternoon and remain in place until after 4:00pm on Sunday.
No early pack-downs are permitted.
· All stalls must be ready to trade by 8:45am sharp on both event days.
· Vehicle speed limit: Please drive at walking speed while within the Territory Netball Stadium precinct.
· The stadium will close at 7:00pm on Friday, so please ensure your stall is fully set up before this time.
· Both large roller doors will be open for bump-in and bump-out access.
· During Bump In stallholder locations will be marked on the floor of the venue with masking tape and numbers. Once set-up is complete we kindly ask stallholders to remove the masking tape.
Saturday 29th November 2025
· Territory Netball Stadium opens at 7am
· Please do not park in the Territory Netball Stadium Carpark, we would like to keep this carpark for those disabled and elderly patrons coming to the fair. The best parking is underneath the stadium, it will keep your car cool and there is a lift to trolley up any last items.
Bump-out
Sunday 30th November – after 4pm
● Please pack your stall completely and move your items to the foyer, before bringing a vehicle to the front of the venue to collect your items. Vehicles need to be moved in and out as efficiently as possible to ensure a smooth bump-out for all.
● Vehicles must be driven at no more than WALKING SPEED while in the Territory Netball Stadium precinct.
● If you have hired tables or chairs, please pack them down after the event and leave them at your stall.
Site allocation
● Stallholders need to be aware that the space you hire is exactly that area - the next stall will sit on your boundary edges. Do not exceed your boundary and be mindful of other stall holders.
● Entry to your stall (for you as the stallholder) needs to fall within your space. Please do not block the aisles with any items or fittings once you are set up, this both to allow for the free flow of pedestrian traffic and for public safety.
Parking
● There is STRICTLY NO PARKING in the Territory Netball Stadium car park area outside of the designated parking spaces. STRICTLY NO PARKING on the grass verges. There will be carpark signs displayed in the carpark, throughout the weekend.
● PLEASE PARK in the Underground carpark away from the main Territory Netball Stadium parking area as we want to leave this area free for customers. Parking in these areas removes premium parking for our customers. You will be asked to move your vehicle.
● Please take the utmost care when parking and manoeuvring your vehicle. We have previously had damage to vehicles because of collisions, which were not reported to the owners. It is both a legal requirement and matter of courtesy to other stall holders that accidents are reported to owners and the organisers. If damage is not reported and it can be demonstrated that a stall holder is responsible, they will be permanently banned from future participation in the fair.
Your stall and stall-fittings
● Please consider how you will utilise your own space to your advantage. If you have been placed on a corner, please make the most of the display opportunities on two sides of your stall.
● You are responsible for your entire set up including shelving and hanging systems, including for framed works of art. You are also responsible for your float and will need to be self-sufficient in terms of change.
● All tables and chairs for your stall are your responsibility. We can rent tables and chairs for you. Please indicate how many you will need of each. 1800 x 600mm tables $25.00 each chairs $5.00 each. We must know by 14/11/2025 if you would like to hire any furniture.
● All electrical equipment must be tested and have current tags or be in a brand new (unused) condition. If your equipment is not tested and tagged or brand new it cannot be used at the venue.
● No signage of any description is to be placed anywhere in the venue outside of your allocated space. Any such signage found will be removed.
● Tables and chairs are required to be provided by stallholders, unless purchased through Green Ant Craft Fair on application. If you have hired tables and chairs, they will be delivered to your stall upon your arrival for bump in.
● All gazebos, chairs and tables MUST have rubber stoppers on the bottom to protect the venue floor. If items do not have rubber stoppers, please bring a piece of carpet to place underneath.
● If you plan on using any kind of tape on the floor please let us know, it is not permitted to use tape that leaves any kind of residue
Times of venue entry/closure
● Access to the venue will be available from 7am on Saturday and 8am on Sunday.
● No stalls are to be set-up after 8:45am Saturday. Please allow yourself enough time to set up. No setup will be permitted for any reason past this time.
● Trading is from 9am-4pm and all stalls are expected to be open for trade for all of these hours. No stall-holders are to leave before 4pm. You will forfeit future fair invitations and your security deposit if this condition is not adhered to.
Entry fees and stall-holder passes
● An entry fee of $4 pre-sale until 11:59pm 28/11/2025 ($5 at gate) This is necessary to cover the site hire, advertising, power costs, generators, decoration, entertainment and other expenses for the running of the event.
● Each stall will have two (2) stall-holder wristbands. Any other people manning your stall will need to pay the entry fee.
● Wristbands will be provided to you at bump in.
Waste water, oil and refuse
● Please ensure all rubbish is placed in bins or taken off-site to be disposed of. An impervious container must be available for the collection and storage of waste water from hand washing and utensil washing for those stalls that require these facilities (food stalls). Waste water must be disposed of in a manner approved by Environmental Health. Oil and refuse containers must be immediately emptied when full and disposed of into the dedicated refuse storage facilities provided.
● Stallholders are required to remove all excess rubbish.
● Rubbish bins provided are for the public and not to be used to dispose of waste arising from your stall including food truck waste, packaging or damaged or broken items – please take it with you.
● At the end of trading hours, the stallholder is required to clean their space and remove any broken racks, coat hangers, shelving, baskets, or accessories.
● We encourage using eco-friendly bags such as recycled paper or enviro bags.
Toilets
There are male, female and disabled toilets located within the Territory Netball Stadium.
Housekeeping
● An ATM Machine will be onsite for the craft fair. The ATM will be clearly marked on your stallholder map.
● Food and drink stalls are located inside the Territory Netball Stadium craft fair boundary. There are no restrictions on food and drink inside the venue but please be aware of other stalls if you bring food into any space where there are stalls.
● Bins will be available. All rubbish generated by your stall is to be removed by the stallholder.
● Please clean your stall area entirely upon exiting on Sunday.
● The Fair is a no smoking /no vaping event. You must smoke outside the boundary of the Fair outside the venue at their designated smoking area.
● To promote the event The Green Ant Craft Fair is giving away 2 x $250 door prizes at 3pm on 30th November. The winners only spend can spend these funds at the fair. The Green Ant Craft Fair will reimburse stallholders who receive these Green Ant Tokens. If Green Ant tokens are used at your stall, please keep it for the duration of the event and hand back to us when you are bumping out.
● SPILLS - If you spot food and drink spills inside the venue during the weekend please call the Hannah 0467722515 immediately. The venue will train our staff on how to clean the floors in a suitable manner to prevent damage.
● RAFFLE DONATIONS -The raffle is a major drawcard for visitors that attend the Green Ant Craft Fair, and a good opportunity to advertise individual businesses.
Green Ant Craft Fair staff will collect donations from stallholders on Saturday morning.
Alternatively please bring your donations to the Information desk at the entrance of the event Donations are optional, but appreciated.
We understand that some businesses have a high price point making it difficult to donate to the raffle. Consider donating a Gift Voucher instead (the winner could receive money off a purchase), this advertises the business and potentially brings new customers.
Terms and Conditions
OPENING STATEMENT
The Green Ant Craft Fairs are premier events showcasing Craft, Art, and Design.
Your application’s quality is a significant factor in determining your invitation to the fair. Priority will be given to stallholders who can clearly demonstrate the quality and uniqueness of their products. A compelling elevator pitch, ‘story’ or description about your work will also strengthen your application.
Please note that previous participation does not guarantee acceptance in this year's fair.
INVITATIONS & ATTENDANCE
Invitation-Only Participation.
Attendance as a stallholder is by invitation only. Submission of an application form does not constitute an invitation but expresses an interest in participating. Only those selected will receive a formal invitation to the fair.
Space Limitations and Waiting List
Due to space restrictions, not all applicants can be accommodated immediately. Applicants whose work meets the criteria but cannot be placed initially will be added to a waiting list. You will be notified if you are on this list and informed promptly should a place become available.
Trading Hours and Early Pack-Up Prohibition
‘All stallholders are required to be present and open for trading from 9:00 AM to 4:00 PM on the day of the fair. Packing up prior to 4:00 PM on Sunday is strictly prohibited. Stallholders who pack up before the designated closing time will forfeit their eligibility for future participation in Green Ant Craft Fairs and lose their $100 security deposit.’
Setup and Safety Requirements
Stallholders must set up within their designated area and ensure that their setup does not pose any safety risks to themselves, other stallholders, or patrons. Compliance with all requirements and guidelines provided by the organisers, including those related to fixtures, fittings, and marquee types, is mandatory.
Site Allocation
Site allocation is at the sole discretion of the organisers and is non-negotiable at the time of setup.
Professional Conduct
Stallholders are expected to display their work in a professional and inviting manner and to conduct themselves respectfully towards fellow stallholders, the public, and the organisers (Hannah Swales & Matthew Simmonds) and their representatives.
Public Walkways
Public walkways must be kept clear at all times.
Security
Stallholders are responsible for the security of their stock, equipment, cash, and personal belongings.
Compliance with Handbook
All stallholders must adhere to the guidelines outlined in the stallholder handbook, which is considered essential reading. Please review the handbook thoroughly and direct any questions to us via email prior to the event.
By participating in the Green Ant Craft Fair, you agree to comply with these terms and conditions.
Waste Management and Cleanup Policy
Responsibility for Waste Removal
Stallholders are required to remove all waste generated by their stall. The public rubbish bins provided are not to be used for disposal of stall-related waste, including food truck refuse, packaging materials, or damaged items. All such waste must be taken off the premises by the stallholder.
End-of-Day Cleanup
At the conclusion of trading hours, stallholders must ensure that their designated area is thoroughly cleaned. This includes the removal of all items such as broken racks, coat hangers, shelving, baskets, and any other accessories. Additionally, any tape or other markings used to delineate the stall area must be removed.
Eco-Friendly Practices
Stallholders are encouraged to utilise eco-friendly bags, such as those made from recycled paper or reusable enviro bags, in an effort to support sustainable practices.
Compliance with these policies is mandatory. Failure to adhere to these requirements may affect future participation in the Green Ant Craft Fair.
Intellectual Property Disputes Policy
Non-Involvement in Disputes
The Green Ant Craft Fair does not engage in disputes between stallholders related to intellectual property rights. By participating in the fair, you agree that any such disputes will remain confidential for the duration of the event, except when seeking legal advice.
Resolution of Disputes
You are required to resolve any intellectual property disputes independently with the other party involved, whether a fellow stallholder or another party. To prevent disruption to the fair, any disputes with other stallholders should be addressed outside of trading hours.
Product Removal
While we do not adjudicate intellectual property disputes, we are committed to supporting creative endeavours and protecting original products. If a dispute arises concerning products or marketing materials displayed at the fair, we reserve the right to request the removal of the disputed products or items from display. You will be required to cease trading with these products for the remainder of the market trading hours.
By participating in the Green Ant Craft Fair, you acknowledge and agree to these terms regarding intellectual property disputes.
ITEMS FOR SALE
Product and Stallholder Guidelines for the Green Ant Christmas Craft Fair Quality and Originality.
All goods sold at the Green Ant Christmas Craft Fair must be of high quality and predominantly created by the stallholder or a collective represented by the stallholder. One person involved in the creation of the products or a sales representative with key product knowledge must be present at all times during trading hours to interact with the public and answer questions.
Local and Australian-Made Goods
We prioritise goods that are locally made, designed, and created. We do accept Australian made under specific conditions. Your application must detail the skill and creative process involved in producing your goods. Simply stating that you designed the item is insufficient; you must describe how your skills are applied in the creation process.
Modifications to Imported Goods
The Green Ant Christmas Craft Fair exists to showcase the talents of local artists, craftspeople, makers, and creatives. Our primary focus is on 100% handmade items, but we recognize that in today’s digital age, two-dimensional art is often reproduced on pre-made products like cards, magnets, and other items. While we embrace this evolution, we do so with the understanding that the artwork must be original and created by the stallholder, similar to the standards for fine art prints.
That said, we maintain a clear distinction: products designed in Australia but manufactured overseas—without significant input or modification by the designer—are not eligible for inclusion. We aim to strike a balance between tradition and innovation, ensuring that the fair remains a platform for truly unique, locally-driven creativity.
Compliance with Standards
Stallholders are responsible for ensuring their products meet relevant safety and labelling standards. The Green Ant Christmas Craft Fair is not liable for non-compliance with these standards.
Prohibited Goods
The sale of offensive, illegal, prohibited, counterfeit, or unauthorised goods, including those bearing trademarks without proper licensing, is strictly forbidden. Stallholders must ensure their products do not infringe on any third-party intellectual property rights, including those of other stallholders and businesses.
Pre-Sale Approval
If you are unsure about the suitability of any items for sale, seek clarification before the event.
Non-Compliance Consequences
If you are found selling non-compliant goods, you will be required to remove them from your stall. Continued non-compliance or misleading information may lead to the cancellation of your stall and affect future invitations.
Insurance Requirements
Stalls selling food, cosmetics (including soaps), or therapeutic goods must provide relevant insurance documentation to The Green Ant Craft Fair prior to the event.
Liability
The Green Ant Christmas Craft Fair is not responsible for loss, theft, breakages, or damage to any products, displays, or personal belongings brought into the venue.
By participating, you agree to adhere to these guidelines.
CANCELLATION AND REFUND POLICY
Refunds for Cancellation
Event Cancellation: If the event is cancelled due to circumstances beyond our control (e.g., emergency, weather, safety, health concerns), a 50% refund of your stall fee will be offered.
STALLHOLDER CANCELLATION POLICY:
No refunds, credits, or transfers will be provided for cancellations made one calendar month or less before the event. After this time, stallholders are responsible for sourcing their own replacement if they are unable to attend if the waitlist is exhausted.
Termination of Invitation
The Green Ant Craft Fair reserves the right to terminate an invitation of a stallholder:
If the Stallholder fails to comply with terms and conditions
● Commits a criminal act at the fair
● Fails to attend and set up within a reasonable time before trading hours
● Behaves unprofessionally or does not adhere to fair etiquette
● Submits a misleading application or sells non-compliant items
● Engages in other disorderly conduct as determined by The Green Ant Craft Fair
Such termination will result in ineligibility for a refund.
PRIVACY POLICY
The Green Ant Craft Fair is dedicated to protecting your privacy and adheres to the Privacy Act 1988. We have implemented rigorous practices, systems, and procedures to safeguard your personal information.
Information Collected
We collect personal information necessary for event administration, including but not limited to:

● Mobile Number
Access to this information is strictly limited to authorised personnel only.
Use of Information
Your personal information is used solely for event-related communication and administration purposes. Mobile numbers are used exclusively for urgent contact or emergencies. We do not sell, rent, or otherwise disclose your personal information to third parties.
Storage and Retention
We retain your personal information only for as long as necessary to fulfil legal and tax obligations or for the purposes for which it was collected. Your information may be stored in physical or electronic format. We will take appropriate measures to securely destroy your information once it is no longer needed.
Access to Information
Only authorised Green Ant Craft Fair personnel have access to your personal information.
By participating in the Green Ant Christmas Craft Fair, you acknowledge and consent to the collection, use, and storage of your information as described in this policy.
Insurance and risk management
Public liability
The Green Ant Craft Fair holds and maintains a public liability insurance policy for the Green Ant Christmas Craft Fair, with coverage of no less than Twenty Million Dollars ($20,000,000.00). This policy covers the fair's patrons in the event of personal injury and provides coverage for the directors of The Green Ant Craft Fair regarding any damage to property owned by the Territory Netball Stadium. Please note, the public liability insurance held by The Green Ant Craft Fair does not cover the loss, theft, or damage to your property or stock. It also does not provide product insurance for items sold by Stallholders.
Stallholder Responsibility:
Stallholders are solely responsible for securing any additional insurance they may need, including but not limited to:
- Product liability insurance for items such as body products (skin, hair, facial, cosmetic, and beauty products), animal products, health supplements, and treatments.
-Theft and damage insurance for your stock and equipment.
- Public liability insurance for any incidents or injuries arising from the operation of your stall.
In accordance with Northern Territory laws and regulations, Stallholders must notify The Green Ant Craft Fair in writing of any liability claims directly or indirectly related to their stall or products. This includes any injury, loss, or damage suffered by the Stallholder, their staff, or any third parties.
Indemnity:
The Green Ant Craft Fair accepts no liability for any injury, loss, or damage, whether direct or indirect, that may be suffered by the Stallholder, their staff, or any third party in connection with the operation of the stall or participation in the fair.
Each Stallholder agrees to indemnify and hold harmless The Green Ant Craft Fair, its directors, and affiliates against any and all claims, suits, actions, and proceedings, whether legal or otherwise, directly or indirectly related to the operation of the Stallholder’s stall.
This indemnity applies to all claims, losses, or damages arising under current Northern Territory laws and regulations.
Risk Management and Occupational Health & Safety
At The Green Ant Craft Fair, we believe that risk management and occupational health and safety are everyone’s responsibility.
The Green Ant Craft Fair is committed to complying with all relevant Northern Territory legislation and regulations regarding the health, safety, and wellbeing of all individuals attending the event. These legal requirements will be considered the minimum standard. In situations where the legislation does not adequately address a particular health and safety risk, we will adopt a reasonable and practicable standard to ensure a safe environment for all.
We are dedicated to proactively identifying and assessing potential risks, both internally and externally, and will continuously review and update our safety measures.
The Green Ant Craft Fair has developed a comprehensive risk management plan, which is available to stallholders upon request. This plan outlines our commitment to maintaining a safe and secure event for all participants.
Emergency Procedures
An Emergency can be defined as any event which may adversely affect the safety of persons within the event site and which calls for an immediate response.
The Green Ant Craft Fair organisers are aware of where the exits, telephones, fire extinguishers, first aid and who the Fire Wardens/ Evacuation Personnel are.

In the event of a serious emergency of any kind stall holders should follow the procedure below:
Reporting a SERIOUS Emergency
1. Contact Site Manager – if you have time (- tell them of the incident)
2. Ring 000
3. State your name and your exact location
4. Explain the type of emergency or incident and what happened
5. Say how many injured people there are and the nature of their injuries 6. Tell them if first aid is being administered and what is happening at the scene.
7. Stay on the telephone until told to hang up.
Emergency meeting point
The emergency meeting point is clearly marked on the fire evacuation plan on pg 18
First Aid
First aid is the emergency care of the sick or injured. The site manager is the nominated First Aid contact point.

Fire
In the event of a fire, stall holders should be aware of the standard fire orders listed below.
Standard Fire Orders
Actions to be considered on discovering a fire:
R “Rescue” Rescue any person in immediate danger if safe to do so
A “Alarm” Alarm to be raised call 000 and/or contact the site manager C “Contain” Contain the fire, close doors, remove combustibles if safe to do so. E “Evacuate” Evacuate to the assembly area.
Types of Emergencies & Response Plans
A. Weather-Related (Thunderstorms, High Winds, Heat)
● Monitor: Use weather apps or NOAA radio.
● Tents: Secure all tents/stalls with weights; have a quick-take-down procedure.
● Extreme Heat: Provide shaded area.
Response:
● Announce suspension/cancellation via PA, signage, and text alerts.
● Guide attendees to shelter or exits as needed.
